Instructions to Chair Persons
Session Chairs/Co-Chairs are crucial for the congress program to run smoothly.
The main responsibilities of session chairs are:
1. Introduce the speaker during the session; the two chairs can decide on the format in which they will make introductions.
2. Keep the speakers on schedule. Since many of the attendees like to attend paper presentations from several parallel sessions, it is important that each paper is presented during its allocated time slot.
3. Check the presentation style (In-person, Online, Video, No-show) of each presenter on the check sheet.
Instructions for Presentation
1. Each presentation lasts 15 minutes, including a 3-minute Q&A session. Timekeeper informs passing time by using a bell (1st bell:10min, 2nd bell:12min, last bell:15min).
2. The times shown in the program are Japan Standard Time (JST, UTC+9).
3. All presenters are expected to attend the session during the assigned time slot. If there is no presenter at the scheduled time, the prerecorded presentation video will be played.
4. All the presentations will be streamed on the Virtual Conference Platform (Zoom) at the scheduled time.
5. Participants who have registered for in-person participation may participate either in-person or online.
In-person participants:
1. The in-person presenters are required to give live presentations.
2. Presentation materials should be copied to the PC set up at the venue. Acceptable file formats are pptx and pdf. If you wish to play movies in the presentation, please test them before the session starts.
3. If it is difficult to copy data via USB at the venue, use the presenter’s own laptop with HDMI for the presentation.
4. Presentations will be simultaneously streamed on Zoom.
Online participants:
1. The online presenters are required to attend the session online during the assigned presentation time slot.
2. One can either present online or play the prerecorded presentation video. However, the former case is recommended. For the latter case, the presentation video will be streamed from the conference venue.
