Visa Information for SICE2022
Entry to Japan
You need the following items to enter Japan.
All foreign visitors are required visas regardless of nationality. ERFS (Entrants, Returnees Follow‐up System) certificate will be necessary to apply for your visa.
Please read the following conditions carefully and check if you meet the requirements before requesting.

For authors of accepted papers, we will prepare an invitation letter written in English for your visa application upon request.
*we can not prepare an invitation letter for participants without accepted papers.
As a rule, this procedure applies only to the authors of accepted papers who have already paid the registration fee through the conference registration system. We only support visa applications for attending the conference.
Process for issuing an invitation letter for Visa application
Applicants should satisfy all of the following conditions 1– 6.
1. The applicant is an author of an accepted paper.
2. The applicant has registered for the conference and paid the registration fee.
3. The applicant has submitted his/her final manuscripts.
4. The applicant has booked his/her flights and accommodation.
5. The applicant has filled out the visa_info_form_SICE2022.
6. The applicant has sent the form to the SICE2022 visa support desk:

(Please replace “[at]” with @).
*Please note that all the above requirements must be satisfied.
The following documents will be issued to the applicants who have met all of the above conditions:
* Invitation Letter
* Letter of guarantee
* Letter of the reason for the invitation
* Schedule of stay
* Certificate of Employment if Inviting person
* Certificate for Completion of Registration to the ERFS system
Please read the following before applying for the visa
・ Since it takes time to obtain the visa, we suggest you contact the Japanese Embassy/Consulate General immediately to ask for the detailed procedure and what documents you need to prepare. (Further to the documents prepared by inviting a person/guarantor in Japan, you may have to present some documents. However, please don’t hesitate to contact the Embassy/Consulate General since it depends on the local situation and the purpose of the visit.)
・ Please be noted that application of ERFS and preparation of visa documents doesn’t mean a guarantee of entering Japan. The visa application to the Embassy or Consulate General of Japan in your country should proceed on your responsibility. We are sorry that the SICE2022 has no responsibility for that. Additionally, SICE2022 has no responsibility for the cancellation of travel fees, including flight tickets, hotel booking, etc. In addition, SICE2022 has no responsibility for the case you cannot attend the conference due to COVID‐19 tests before and after your flight.
・ Please be noted that it may take a week or more to prepare the documents. It may also take time to send you the documents.
・ Requirements for quarantine and visa application documents may differ depending on your departure country and vaccination certificates. Please confirm the requirements of your responsibility.
・ Kindly confirm the details of your transit visa on your responsibility if you fly to Japan via any country. Please also check both the conditions and the period of quarantine of the transit country (countries) on your account. We will not take responsibility for it.
・ Due to the border measure, eligible purposes for entering Japan are strictly limited. We will not be able to apply ERFS if you include a schedule other than the SICE2022, quarantine period, or transit stay around the international airport during your visit to Japan.

You must send this form to the SICE2022 visa support desk by August 5, 2022.
When you send the form, please also attach a copy of your passport (as a scanned PDF file).
*This deadline does not guarantee the approval of ERFS and Visa.
